About the Role

The Booking Coordinator Assistant role is a full-time remote position Monday-Friday. It is very detail-oriented and requires strong time management, communication, and interpersonal skills. It requires the ability to multitask, work as a team and have great problem-solving skills during stressful situations. The assistant must be available on-call (1) weekend a month and work on holidays as needed. Due to the expected large number of candidates, only those chosen as final candidates will receive responses to the questions asked. No phone calls, texts, messages to our other teammates, or other forms of communication will be accepted. Salary compensation will be discussed with the final candidates.

Job Duties

  • Scheduling and conducting Video interviews with Promotional Talent throughout the country

  • Managing and tracking events through our online StaffConnect Talent Portal and Calendar

  • Posting and recruiting for events through our social media sites

  • Maintaining constant communication with Team Lead and Event Staff through detailed event confirmations via email in Microsoft Outlook & Talent Portal

  • Work with Booking Managers, Account Managers, and Directors with any last-minute changes in event details or staffing needs

  • Work with onsite Team Leads, Staff, and Clients to execute a successful event and provide a detailed event recap

  • Organize timesheets, staff expense receipts, and recaps, and complete a detailed payroll report

  • Provide superior customer service skills to clients and positive leadership to Event Staff

  • Open availability to work on-call one Saturday-Sunday per month and holidays as needed to oversee the companies’ events

  • Assist with ongoing tasks as needed

Requirements

  • At least (2+) years in an office environment

  • Knowledgeable and proficient with Microsoft (Word, Excel, Outlook, PowerPoint)

  • Knowledgeable and proficient with Google (Meet, Docs, Sheets, Voice)

  • Must have a dedicated office in their home without distraction during the workday

  • Must be a team player with the ability to collaborate, problem-solve, work efficiently, and is self-sufficient

  • Must be willing to work nights and weekends as the event needs arise, on occasion

  • Located ideally in the Central or Eastern Time Zone and can collaborate across multiple US time zones

  • A positive and eager attitude to plan, and stay ahead, and a desire to see projects completed with minimal supervision
